Terms & Conditions

This Contract Covers All Services Provided

The Company agrees to provide the following services as booked by the Client:

DJ Entertainment Services
Audio Guest Book
Photo Booth Hire
Magic Mirror Hire
360 Video Booth / Video Booth 360
Selfie Pod
Dance Floor Hire (including Starlit / LED / Wooden / Custom)
Wedding Styling & Venue Décor
Light Up Letters & Numbers
Special Effects (including Dry Ice, Cold Sparks, Confetti, etc.)
Equipment Hire (Sound, Lighting, Staging, AV Equipment)

Only services confirmed in writing and listed in the Client’s booking above confirmation are included.

Booking & Payment Terms

A non-refundable booking fee of 20% is required to secure the date.

The remaining balance is due no later than 30 days prior to the event.

Bookings made within 30 days of the event must be paid in full at the time of booking.

If paying in full at time of booking, 20% of that fee is non refundable.

Cancelation
The terms of this Agreement do not allow for cancellation other than by mutual consent of all parties and confirmed in writing. RCT Entertainment & Events will charge the following fees should a cancellation occur: a. Within 30 days of the event The full agreed fee. b. Within 60 days of the event. 50% of the full agreed fee. c. Within 120 days of the event. 25% of the full agreed fee.

We will permit you the right to cancel this contract by sending written notice no later than 7 days after the date on which this contract has been digitally signed. If you request cancellation at a later date, then unless we are in breach of contract, we have the right to refuse [or] retain all or part of your deposit as a contribution towards any losses or costs we suffer as a result of the cancellation.

The deposit fee will not be returned under any circumstances. Cancellations are not accepted by e-mail or telephone, only in writing. Once we have received your notice of cancellation, we will confirm this to you via return letter. If you do not receive this letter within 48 hours, do not assume that your event has been cancelled.

Failure to pay on time may result in cancellation of services.

Date changes are subject to availability and may incur additional charges.

Setup & Access
The Client must ensure suitable access, parking, and setup time at the venue.
Setup times vary depending on services and will be agreed in advance.
Late access may result in reduced service time with no refund.

Equipment & Safety
All equipment remains the property of the Company at all times.
The Client is responsible for ensuring:
A safe, dry, and level working environment
Adequate power supply

The Company reserves the right to refuse setup if conditions are unsafe.

Damage & Loss
The Client is responsible for any damage, theft, or misuse of equipment caused by guests or venue staff.
Repair or replacement costs will be charged accordingly. Drinks spilt on equipment or equipment broken.

DJ Services
The Company will provide a professional DJ with suitable experience.
No other persons or performers may use any of the equipment provided other than by prior consent of the DJ.
Music requests on the night are welcomed but not guaranteed.
The DJ reserves the right to refuse inappropriate or unsafe requests.
In the unlikely event of illness/emergency, a replacement DJ of equal standard will be provided.

The Client is responsible for the conduct of all persons attending the event whether those persons are invited or not. We do not take any responsibility for controlling rowdy behaviour, or ejecting unwanted persons from the venue. RCT Entertainment & Events and it's DJ's have the right to perform in a safe environment. We reserve the right to terminate the performance should any physical/verbal abuse or intimidating actions be made to the DJ, Venue, Staff or any of those persons present at the event. Under these circumstances no refund will be given. RCT Entertainment & Events and it's DJ's also reserve the right to terminate the performance should our equipment’s' safety be compromised in any way.

If performance time is requested in excess of that agreed this will be at the discretion of the DJ and subject to additional fees charged at our overtime rate. All requests for additional playing time must be cleared with the Venue management team beforehand


Photo Booths / Magic Mirror / Selfie Pod / 360 Booth
An attendant may be provided where applicable.
Booths require adequate space and power supply.
Props and prints are included in the booking, any loss of props will be charged to the client.
A photo album will be supplied with all applicable photo booth hires for the purpose of storing duplicate photo prints taken during the event. Whilst this is sometimes referred to as a “guestbook”, RCT Entertainment & Events does not market, supply, or guarantee this as a written guestbook for guest messages or written content. The album is provided primarily as a keepsake photo album for duplicate prints.
Pens and writing materials may not always be supplied or available during the hire period, and RCT Entertainment & Events accepts no responsibility for the absence of written messages, comments, or guest entries within the album.
The Company is not responsible for misuse by guests.
In the event of a late start due to technical issues or equipment, we will start your hire time from the time we start operating to your guests
In the unlikely event of any computer, software, printer, paper jam, or equipment failure occurring during setup or throughout the hire period, RCT Entertainment & Events will make every reasonable effort to rectify the issue as quickly as possible.
Any hire time lost whilst resolving the issue will be added onto the agreed finish time where venue restrictions and operating conditions permit.
No refunds, partial refunds, compensation, or reductions in hire charges will be provided for temporary interruptions in service whilst faults are being diagnosed or repaired. Refunds will only be considered if the equipment cannot be restored to working order for the remainder of the booking, and any such refund must be authorised and agreed solely by the Managing Director of RCT Entertainment & Events.


Dance Floors
Floors must be installed on a flat, solid surface.
Outdoor use must be agreed in advance.
No liquids, sharp objects, or heavy equipment permitted on floors.
Damage caused will be chargeable.

Styling & Décor
Final design details must be agreed prior to the event.
The Company is not responsible for venue restrictions or last-minute changes imposed by the venue.
Items remain the property of the Company unless stated otherwise, any damaged or lost items caused by guests will be charged to the client

Special Effects (Dry Ice, Cold Sparks, etc.)

Use is subject to venue approval and safety regulations.
The Company will operate all effects safely and in accordance with guidelines.
Effects may be cancelled if deemed unsafe or restricted by the venue, with no liability.

Light Up Letters & Numbers
Must be placed in a safe, indoor or agreed outdoor location.
Clients must ensure no tampering or movement by guests.

Power Requirements
Standard UK 13amp sockets required unless otherwise specified.
Generators must be arranged in advance if no mains power is available.

Liability & Insurance
The Company holds Public Liability Insurance.
The Company is not liable for:
Venue restrictions (e.g., sound limiters)
Power failures
Delays outside of its control

Maximum liability is limited to the total booking value.

Force Majeure
The Company is not liable for failure to perform due to events beyond its control including (but not limited to):
Severe weather
Government restrictions
Venue closure
Acts of God

Media & Marketing
The Company may use photos/videos from the event for promotional purposes unless the Client requests otherwise in writing.

Client Responsibilities
The Client agrees to:
Provide accurate event details
Ensure guest behaviour is respectful
Comply with venue rules and regulations

Agreement
By paying the booking fee or full payment at time of booking, the Client agrees to all terms outlined in this Agreement.
